Multi-Branch ERP Development: Start with the Workflow

A short guide to planning branch permissions, approvals and reporting, informed by Joyal Varghese's ERP development work in the UAE.

A multi-branch ERP system needs to connect people as well as data. Head-office staff may need a company-wide view, while a branch team needs a clear picture of its own stock, requests, and daily tasks.

At Erick Trading LLC, my work includes a centralized administration portal and a dedicated branch operations portal. The platform covers workflows across HRMS, inventory, procurement, accounting, and other departments.

Map a request before drawing the dashboard

Consider a branch asking for more stock. Someone creates the request, another person reviews it, and a warehouse team arranges fulfilment. Each step needs a status, an owner, and a clear next action.

Before designing screens, write down the normal path and the exceptions. Can a request be partially fulfilled? Who can cancel it? What should happen if it is rejected? These questions give the interface and backend a shared set of rules.

Separate visibility from permission

Hiding a button makes an interface simpler, but access decisions also belong on the server. A user should only receive the records and operations permitted for their role and branch.

My ERP work includes role-based access control, screen-level permissions, and multi-level approvals. For a new workflow, I would review both the happy path and attempts to access another branch’s information.

Make everyday questions easy to answer

An operational dashboard should help someone answer concrete questions: what is waiting for approval, what needs attention, and what changed? A large collection of charts can still leave those questions unanswered.

Start with the tasks people repeat every day. Build clear statuses, useful filters, and understandable validation messages around them. Add reporting that helps users trace an issue back to its source record.
